TERMS & CONDITIONS FOR WITHIN THE VILLAGE

These booking conditions form the basis of your contract with Within the Village so please read them carefully.  Nothing in these booking conditions affects your normal statutory rights.  Receipt of deposit/partial or full payment, regardless of method of payment, constitutes acceptance of all current booking terms and conditions.

All contracts made under these Terms and Conditions shall be governed by the law of the Republic of Ireland.  All disputes arising out of the Terms and Conditions and/or Contracts entered into with Within the Village shall be subject to the exclusive jurisdiction of the Courts of the Republic of Ireland. 

Standard single unit booking

A booking deposit of 30% of the total amount is debited from your card at the point of booking.

An enquiry does not constitute a provisional booking and until the dates in question are booked, they are available for booking on the Within the Village website and other booking platforms.

Once we have received this deposit in full you will be issued and invoice for your stay and your dates will be secured for your stay

The remainder of your booking payment will be requested from your card, no later than 3 weeks prior to the first day of your stay with us.

In advance of this you are entitled to cancel your booking and received you booking deposit back less and administrative fee of €100

Once all payments have been made you will receive an email with your full arrival instructions.

Late payments of the entire amount owed on your booking as per the details above may result in the booking being cancelled. In this case you we will retain your booking deposit in full and the dates of your stay will be released for others to then book.

Please note that making a booking within 3 weeks of the day of arrival of that booking is a fully non refundable

Group bookings ( 3 + Suites ) 

A booking deposit of 30% of the total amount is debited from your card at the point of booking.

Once we have received this deposit in full you will be issued and invoice for your stay and your dates will be secured for your stay

In advance of this you are entitled to cancel your booking and received you booking deposit back less and administrative fee of €100

Booking Alterations

You may change your booking dates at Within The Village up to 30 days prior to your arrival subject to the following:

  1. Your newly requested dates must fall within 3 months after the arrival date of your initial booking.
  2. Following a change to your booking, your right to a subsequent refund under our cancellation terms is no longer applicable.
  3. The new dates you are requesting are available to be booked

Please note dates cannot not be altered within 30 days of the arrival date of your initial booking.

Security Deposits

  • Where 2/3 townhouses are booked as part group booking a security deposit of €1000 will be pre-authorised or debited to your card prior to arrival.
  • For exclusive hire or groups 4 townhouses and above, a security deposit of €5,000 will be pre-authorised or debited to your card prior to arrival.

This is standard procedure in case of breakages, damage, soiling or theft and will be returned to you within 7 days of departures subject to any damage charges.

An inventory of house stock including art, craft, cushions, throws, pottery, glassware, electrical equipment, etc. is done on induction and check-out with a member of the guest relations team.  The deposit will be returned only after this inspection has taken place and within 7 days of departure.

There is no charge for breakages to pottery or glassware, however, please inform the guest relations team as the broken pieces can be recycled and incorporated into future pieces.

The owners are not liable for any loss or damage to property owned by or in the custody of clients.

The client will be responsible for the conduct and discipline of all persons staying in each property.

Arrivals and Departures

You are welcome to arrive any time after 4pm on the day of check-in and you will be greeted by a member of our guest relations team up to 6pm.  If you arrive late in the evening or are delayed, please let us know.  The key will be left in a secure box outside the Townhouse and your welcome/induction will take place the following morning by a member of the guest relations team.

Check out is by 11.30 on the day of departure and again, one of our team will be on hand to assist you and see you off.

Methods of Payment:

  • ‘Stripe’

Secure online payment system to process credit & debit card details. We are ‘Payment Card Industry’ (PCI) compliant. This is to allow us to either pre-authorise or take a payment for the mandatory security deposit depending on the card provided. We ensure the protection of our guests’ card details by complying with the regulations concerning the processing & retention of card details by banks and the GDPR data retention regulations.

  • Bank transfer: please email us directly and we will provide you with our bank details.

Cancellation by Customer: In the event that you wish to cancel your reservation less than 20 days before arrival date: 100% of the total booking value is non-refundable. Your deposit is fully refundable up to 60 days prior to arrival.

Right to Decline: Within The Village reserves the right to refuse, alter or cancel a booking, even after receipt of final payment and in line with the policies here forementioned.

Behaviour: Within The Village reserves the right to terminate this contract if the behaviour or conduct of the consumer either prior to or during the dates of a booking, is likely to endanger the safety or well-being of other consumers in the party or that of the consumer himself.

Accommodation Capacity:

For insurance reasons, the total number of clients staying in each unit must not exceed the maximum capacity stated in the accommodation description and at time of booking 

Facilities

Each of the townhouses are well equipped to ensure that you have a comfortable stay and experience at Within the Village.  Ethically sourced towels, linen and toiletries are supplied as well as kitchen essentials, fire/starter pack for the fires and some surprises!

We ask that you do not take the bathroom towels to the beach. Separate beach towels are available in each townhouse.

To be mindful of the environment, towels and bedlinen are not changed for 3 or 4 night stays.  For guests staying on 7 night stays, a light clean will take place on either Monday or Friday, depending on the day of check-in.  For guests staying for 2 weeks or more, a full clean of the house including change of bedlinen and towels will take place every 7 days.

Rates:

Please refer to the current rates list on our website for details of approximate weekly rates.  All rates quoted are in Euros.  We reserve the right to amend rates, at our discretion, at any time of the year.  Short break rates may be available outside of June/July/August/Christmas and Easter but check in will remain on either a Monday or a Friday.  Please email info@withinthevillage.ie for details.

Complaints:

In the unlikely event of a complaint, it should be brought to the attention of Within The Village  or its agents immediately. Failure to register a complaint while at the property may invalidate a future claim. Failing a satisfactory solution, you should contact Within the Village and a written complaint should be logged within 14 days of departure.

Default by the Customer: The consumer is obliged to ensure that all documentation and details issued to you by Within The Village is correct. In an unlikely event that you do not agree with the documentation, it must be brought to our attention immediately.

Extra requirements: Cots and highchairs are available Please advise in advance of your arrival so we can have all requirements in place in your townhouse. We don’t not provide Cot Linen so please be advised to bring your own for the duration of your stay

Persons with Disabilities: It shall be the consumer’s responsibility to disclose, prior to booking, to Withing the Village any physical or mental condition of a member of his party which may be relevant. Fernwood reserves the right to decline or provide a holiday for a disabled person where in our mind; the accommodation would be inconsistent with the special needs of a disabled person.

Pets

Due to the layout of our five houses and communal garden space, dogs or other animals are not allowed on the premises.  This is also in consideration of the other guests staying at the properties.

Exceptions will be made for guides dogs and special assistant dogs. Certification of such animals may be requested by Within The Village in advance of your stay. In this case all pets are to be kept on leads and or in cages when in public areas of the property.

Smoking:

We have a strict no smoking Policy in all interior spaces at Within The Village. Smoking is allowed in external areas but it is requested that smokers be mindful at all times of the other guests and staff on site at all times. Should there be evidence of smoking inside any of the interiors of the property there will be a cleaning fee of €800 applied to the card on file.

Communal area:

As there is shared communal space in the garden, guests need to be mindful of other guests staying at the property.  This space is for exclusive use by guests of Within the Village only.

The use of the communal outdoor space is not available after 10pm so as not to disturb other guests or the neighbours.

Group Bookings:

Within The Village does not accept bookings from groups of parties under the age of 20, or hen/stag parties unless otherwise agreed in writing. We reserve the right to refuse to check-in such groups and will not refund any monies paid in advance in the event of non-disclosure of the age of the occupants in advance of booking.

Our entire site can booked as a whole for occasions. These bookings can only be made directly with us and not through our booking system or a third party website.

Should any parties making a booking wish to book 2 or more of our townhouses this needs to made aware to Withing the Village in advance of arrival.

Third party bookings

Please note that if you book through a third-party agent / platform / website such as VRBO, Booking.com, etc. terms and conditions, including cancellation policies, may differ.

Within the Village advises all its clients to take out travel insurance to cover any costs associated with having to cancel a holiday.
